Hotel ballroom: rent an LED wall for events, or buy one? The break-even is 26 events

Banquet managers ask this every time. The answer depends less on the price than on how many events the room actually books.

The rental case

A 24 square metre LED wall rents for roughly 1,800 to 2,600 dollars per event in most markets, including delivery, installation, and an operator. At 2,200 dollars and 40 events a year, that is 88,000 dollars annually. It also means no capital, no storage, and no maintenance.

The purchase case

A fixed 24 square metre P2.5 wall costs about 30,000 to 38,000 dollars installed, plus 2,000 dollars a year in service and spares. It stays in the room. The limitation is that a fixed wall cannot be moved to a different function space, and hotel ballrooms often reconfigure.

The break-even

26286,00048,000Buy
40440,00048,000Buy

That table is wrong, and here is why

It compares a fixed wall with a rented one as if they were the same product. They are not. A rented wall goes where the event is, on the day it happens. A fixed wall only serves the room it is in. If the hotel has four function spaces, buying one wall covers one of them.

The real calculation

Count the events that would use the same room, not the total events. Then add the rental revenue the hotel could earn by hiring its own wall to other rooms, which is often 30 to 50 percent of the annual rental cost. That second line is what makes purchase attractive for busy hotels.

What we recommend

A hybrid: buy a fixed wall for the main ballroom and keep a rental relationship for the smaller rooms. Most hotels that do this recover the capital in under three years, and they stop paying rental for their biggest room on their busiest dates.

The operational catch

A fixed wall needs someone who can operate it. If the banquet team is not trained, the hotel will still hire an operator per event, which is 300 to 500 dollars and eats a third of the saving. Train two staff before the wall arrives, not after.
